Responsibilities under Desired Job

 

Shorthand Typing:

Take dictation in shorthand and transcribe it into typed documents.

Ensure accurate and timely transcription of recorded information.

Documentation and Correspondence:

Draft and prepare official correspondence, including letters, memos, and reports.

Manage and organize office documents and records, ensuring they are properly filed and accessible.

Administrative Support:

Assist with scheduling meetings, appointments, and maintaining office calendars.

Provide administrative support to senior staff, including handling correspondence and preparing reports.

Office Management:

Manage incoming and outgoing mail, including distribution to appropriate departments.

Handle office supplies and maintain inventory as needed.

Customer and Stakeholder Interaction:

Handle inquiries and requests from clients, staff, and stakeholders, providing information or directing them to the appropriate department.

Assist in front-desk support and greet visitors professionally.

Confidentiality and Compliance:

Ensure confidentiality of sensitive information and handle documents with discretion.

Comply with office procedures, company policies, and regulatory requirements.

Field Work:

Participate in site inspections or fieldwork as needed, taking notes and preparing reports.

Record Keeping:

Maintain accurate records of office transactions, meetings, and activities.

Prepare and maintain filing systems for easy retrieval of information.

Coordination and Support:

Coordinate with other departments to facilitate smooth office operations.

The appointing authority may set a higher threshold if needed.
